ServiceOps ("we", "us", "our") provides an AI voice receptionist and operations platform for field service businesses. This Privacy Policy explains what information we collect when you interact with our marketing site, request a demo, or sign up for a trial, and how we use and protect that information.
When you submit our demo request form on the landing page, we collect:
Your name and work email address. We also receive non-personally identifying metadata along with the submission: the form variant you saw and any utm_source, utm_medium, and utm_campaign query parameters present in the URL when you loaded the page, both used to understand which marketing channel brought you to the site.
We do not require a phone number, company name, or other fields on the public signup form. If you later become a customer, additional information (business name, billing details, call recordings, transcripts) is collected under a separate customer agreement.
We use the name and email you provide to:
Send you onboarding emails following up on your demo request, follow up with a single business-day reply, and schedule the demo. We do not sell, rent, or share your contact information with third parties for their own marketing.
Demo form submissions are synced to a Mailchimp "Form-Submission" Audience we control. Specifically, on each submission we call Mailchimp's API to add your email address to the audience with status subscribed, store your first name in the FNAME merge field, and apply the onboarding-sequence tag. This tag drives a short automated welcome sequence (a few messages, spaced over approximately one week). Once you become a paying customer, your record stays in the same audience unless you unsubscribe.
We retain your record in this audience until you unsubscribe. Every email we send contains a working unsubscribe link; clicking it removes you from the audience and stops further onboarding sequences. You can also email us directly at hello@serviceops.com and we will remove you manually within seven days.
We use two analytics tools to understand how visitors use our site:
Google Analytics 4. If a GA4 measurement ID is configured for this site, the standard gtag.js script loads and sets first-party cookies used to distinguish unique visitors and sessions. No advertising features (remarketing, demographic reports) are enabled. You can opt out using the Google Analytics Opt-out Browser Add-on, or by blocking third-party cookies in your browser.
Polsia Analytics. A lightweight 1x1 pixel beacon (polsia.com/api/beacon/pixel) tracks a pseudonymous visitor ID stored in localStorage under the key polsia_vid. The ID is a UUID-shaped random string and is not linked to your email or other identifiers; it exists only to count unique visits across sessions. Clearing site data removes it.
The limited set of services that may receive your demo-form data are:
Mailchimp — audience sync as described above. Operated by Intuit Inc.; privacy policy.
Render — hosting for this site. No form data is stored at rest on Render; submissions are forwarded immediately to the Mailchimp API over HTTPS.
We do not embed Facebook tracking pixels, Google Ads conversion tags, or any other third-party advertising cookies on the public marketing site.
Demo-form submissions are not stored in our own database; they live only in the Mailchimp audience. To request deletion, email hello@serviceops.com from the address you submitted (or include it in your request if it has changed). We process deletion requests within seven days and reply to confirm when complete.
ServiceOps is a business product and our site is not directed at children under 16. We do not knowingly collect information from children. If you believe a child has submitted a form on this site, contact us and we will delete the record.
We may update this Privacy Policy as our practices change. The "Last updated" date at the top will reflect the most recent revision. Material changes — for example, adding a new data processor — will be noted clearly on the site before they take effect.
This policy and any dispute arising from it are governed by the laws of the State of Delaware, without regard to its conflict-of-laws principles.
